Set up review replies

Have a reply written for every review you receive, publish good ones on your own pages automatically, and copy replies for Google and Facebook.

The review replies agent writes a reply the moment a review lands, in your tone and signed the way you choose. You can read each one and press Use, or let it publish replies to good reviews on your own pages without waiting. Low ratings always wait for you.

Before you start

You are an owner or an admin.
Reviews coming in under Sites › Reviews.
Optional: a knowledge base with your hours and services, so replies can mention them correctly.

Steps

Open AI Agents › Agents and choose Review replies.
Under What it may do, press one of: - Off: nothing is written. Replies stay yours to type. - Suggest a reply: it writes a reply the moment a review lands. You read it and press Use. - Answer by itself: it publishes replies to good reviews on your own pages without waiting for you.
If you chose Answer by itself, pick the lowest rating it may answer alone under Answer by itself from: 3 stars and up, 4 stars and up or 5 stars and up.
Choose a Tone: Warm, Professional or Short.
Type a Sign-off, for example "The team at Wick & Ember". It ends every reply. Leave it empty for no name at the bottom.
Under Anything it should always say, add what matters, for example "Mention our Saturday workshops. Never offer a refund in a reply."
Under Knowledge the assistant may use, tick the bases it may read.
Press Save. A message says "Saved. New reviews are answered this way." The line at the top says what it will do.
Open Sites › Reviews to see the replies as reviews arrive.

What happens next

Under each new review in Sites › Reviews, a Suggested reply box appears.

For a review left on your own pages or added by you, press Use to publish the reply as it stands, or Edit it to change it first and press Save reply.
For a review on Google or Facebook, press Copy reply and paste it under the review there. Nobody can post a reply on those sites for you.
Press Regenerate for a different version.

On Answer by itself, replies to reviews at or above your chosen rating, on your own pages, are published straight away. One and two star reviews always wait for you, whatever you choose: those are the ones worth reading twice. Google and Facebook reviews are always left for you to copy.

The agent never states a price, an offer or an opening time it was not given in Anything it should always say or in its knowledge. Each reply is charged as a small amount of AI usage.

For clients of an agency

Your agency may have set this up for you. You can still read, edit and publish every reply yourself.

Troubleshooting

The mode buttons are greyed out and it says "AI is switched off for this account. Ask your account manager." The account's AI switch is off. See Why AI stopped.

A two-star review was not answered automatically. That is by design. One and two star reviews always wait for a person.

There is Copy reply instead of Use. The review is on Google or Facebook. Copy it and paste it under the review on that site.

The reply mentions something that is not true. Correct it with Edit it before saving, then add the right facts to Anything it should always say or your knowledge base.

"Only an owner or an admin can change this." You are a member. Ask an owner or an admin.
