Create a workflow by describing it
Say what you want automated in one sentence and get back a draft workflow with its trigger, steps and words.
You don't have to know which trigger or step does what. Describe the job in a sentence, the way you would to a new member of staff, and it comes back as a draft workflow: the trigger, the steps, the waits between them and the words of each email. You read it, change what you like, and switch it on.
Before you start
- The AI builder switched on. It is on unless someone turned off Offer the AI builder under Automations › Settings.
- For emails and texts to go out later: a sending domain for email, and a phone number for texts, under Settings › Channels.
Steps
- Go to Automations and open the Workflows tab. (You can also click Create workflow and choose Describe it to AI.)
- Find the box What do you want to automate?
- Type what you want in one or two sentences. Say what starts it and what should happen, in order. For example: - A candle studio: "When somebody buys, thank them, and a month later offer 10% off a refill." - A dental clinic: "When somebody books, thank them, remind them the day before, and ask for a review a week after." - A fitness coach: "When a new lead comes in from my funnel, text them within the hour and tell me by email."
- Or click one of the starters under the box, Lead nurturing, After a sale, Win back or Tell me about VIPs, and edit its wording.
- Click the arrow button, or press Ctrl+Enter (Cmd+Enter on a Mac). It says "Drafting the run… about ten seconds."
- The new workflow opens in the editor as a Draft. A note may appear explaining anything it could not do exactly as asked.
- Read every step. Click a step to open it and change its timing, subject or words.
- When it reads the way you want, switch it on with the Draft switch at the top right. It changes to Running.
What happens next
- Nothing runs while it is a draft. Once switched on, it starts for people from that moment.
- The draft is an ordinary workflow. You can add and remove steps as with one you built by hand.
- Click Explain at the top to read the whole workflow back in plain words before you switch it on.
Troubleshooting
There is no "What do you want to automate?" box. The AI builder is switched off for your account. Turn on Offer the AI builder under Automations › Settings, or start from a template instead.
It says "Couldn't draft that just now." Try again in a moment. If it keeps failing, rephrase the sentence in plainer words, or start from a template.
The draft left something out. Some steps are not available yet (they are marked Soon): If / else, Make a voice call and Unlock a membership. Read the note that came with the draft for anything it could not do, and build the rest with the steps you have.
A step shows as not ready. The header says how many steps are "not ready". Open each one; it says what is missing, such as "No subject yet." or "Which tag?".
The emails use words I would never use. Open each email step and rewrite it. Every word can be changed; the AI only gives you a first draft.
