See who went through a workflow
Check who is on a workflow now, where each person has reached, when their next step goes, and how its emails performed.
Every person who goes through a workflow is a run. The Runs section shows how many are running, finished or stopped, and for the most recent people, which step they are on and when the next one goes. The workflows list adds up the emails each workflow has sent.
Before you start
- A workflow that has been switched on, with at least one person on it.
Steps
See the runs of one workflow
- Go to Automations › Workflows and click the workflow to open it.
- Make sure you are in Canvas view, and scroll to Runs at the bottom.
- Read the three counts: - Running: people still on it, waiting for their next step. - Finished: people who reached the end. - Stopped: people taken off before the end.
- Read the table of the latest people: Contact, Where (such as "Step 3 of 5", Finished or Stopped), Next (the date and time of their next step) and Joined.
The table shows the 25 people whose runs changed most recently, and refreshes by itself every 30 seconds.
See the totals for every workflow
- On Automations › Workflows, read the Enrolled and Active columns. Enrolled is everyone who has been on it; Active is everyone on it now.
- Click the arrow at the start of a row to open its email figures: Sent, Delivered, Opened, Clicked and Bounced.
What happens next
- Next only shows a time for people who are still running. Finished and stopped runs show a dash.
- To see one person's history, open their contact record from Contacts. Notes added by steps, tags and stage changes appear there.
- Workflows with a trigger are also listed, with the same figures, under Marketing › Email › Campaigns › Workflow Campaigns.
Troubleshooting
Runs says "Nobody has been on this run yet." The workflow is a draft, its trigger has not happened since it was switched on, or its trigger does not match. See Why a workflow didn't run.
The row figures say "No emails sent by this run yet." People are on it but no email step has been reached yet, or the workflow has no email steps.
Someone has been on "Step 2 of 4" for days. Check Next: the step may still be waiting its gap. If Next is in the past, check whether everything is paused under Automations › Settings, and that the workflow is Running, not Paused.
I can't find an older run in the table. The table only shows the 25 most recently changed runs. The counts above it include everyone.
Bounced is high. Some addresses on this workflow do not exist. Clean them from your contacts, and check where these contacts came from.
