Start a workflow from a template
Pick a ready-made workflow, with its trigger, timing and words already written, and switch it on after reading it.
Templates are the workflows nearly every business runs: a welcome series, a follow-up for new enquiries, a booking reminder, a review request. Each comes with its trigger, its timing and its words. It arrives as a draft, so nothing sends until you have read it and switched it on.
Before you start
- For templates that send email, your sending domain under Settings › Channels.
- For templates that tag or move people, the tags and pipeline stages you use. You can change them in the steps.
Steps
- Go to Automations and open the Workflows tab.
- Under Start with a template, click one of the six shown, or click View all templates. (Create workflow › Start from a template opens the same list.)
- In Start from a ready-made one, browse the four shelves: Leads, Customers, Engagement and Housekeeping. Each card shows what starts it, the steps in order, and how many emails it sends.
- Click the one you want. It is made as a draft and opens in the editor: "Made as a draft. Read every step before you switch it on."
- Click each step and read it. Change the wording, the waits, the tags or the stage to fit your business.
- Switch it on with the Draft switch at the top right.
What happens next
The templates, grouped as you see them:
Leads - Welcome: three short notes over a week for anyone who signs up. - Qualify new leads: AI reads what they wrote, scores them, moves the good ones to Qualified and tells you. - Lead follow-up: chases a new enquiry over five days, then tells you if nothing came back. - New lead: tag them and tell me: tags every new funnel contact "lead" and emails you. - Speed to lead: the moment an enquiry lands, you are told, they are told, and it is on their record. - Warm up a cold lead: two useful notes a week apart for anyone tagged "cold".
Customers - After a purchase, First purchase: mark them a customer, Ask for a review, Bring them back and After a refund. - Booking confirmed, Appointment reminder (the day before), We missed you (after a no-show) and Ask for a review after the visit.
Engagement - Win back the quiet ones, Mark the people who click, Mark the people who open, Clean the list and VIP: a note and a heads-up.
Housekeeping (no email in them) - New contact: send to Zapier or Make, Purchase: send to Zapier or Make, When a deal is won, Mark the ones with a phone number and Archive the silent.
Several templates start from a tag, such as "inactive", "cold", "vip" or "refunded". They run when you, a step or another workflow adds that tag.
Troubleshooting
The template did nothing after I made it. Templates arrive as drafts. Switch the workflow on at the top right of the editor.
A tag-based template never starts. It watches for one exact tag, such as "vip". If your contacts use "VIP customer" instead, change the trigger's Which tag, or tag people with the template's word.
"Qualify new leads" moves nobody to Qualified. Only people the AI judges a good fit, and who are still at New lead or Contacted, are moved. Tell it what a good lead looks like in the scoring step. See Score your leads automatically.
The Zapier or Make template shows a step as not ready. The webhook step needs your own address. Open Send to a webhook and paste the address from Zapier or Make into Post to.
It says "Couldn't make that." Try again. If it keeps failing, refresh the page first.
