Add a contact by hand
Enter a person yourself, with their value and tags, when they reached you by phone, in person or by referral.
Most contacts arrive by themselves: from your forms, bookings, orders, incoming texts and imports. Add one by hand when somebody reached you another way, such as a walk-in at the studio or a phone enquiry.
Before you start
- The person's full name and email address. Both are required here.
- Optional: their phone number, what the lead is worth, and any tags.
Steps
- Open Contacts.
- Press Add Contact at the top right. The Add contact window opens and tells you which stage the person will land in, for example Lands in New leads.
- Fill in Full name, for example
Priya Shah. The first word becomes the first name and the rest the last name. - Fill in Email.
- Fill in Phone if you have it.
- Under Value, type what the lead is worth, for example
450for a wedding candle order. Leave it blank for leads that came through a funnel; the app works that out from what the funnel sells. - Under Tags, type a tag and press Enter (or the + button). Existing tags are offered below the box as you type; click one to add it.
- Press Add contact. A message says Contact added.
You can also add a contact from the pipeline: open Contacts › Pipeline and press the + at the top of the first stage.
What happens next
- The contact lands in your first open stage: the first stage that is neither won nor lost.
- Its source is recorded as
manual, shown as Source on the record. - Any tags you added start your "A tag is added" workflows, and the new contact starts any "A new contact arrives" workflows set to run from anywhere.
For agencies
Open the client first (Sub-accounts › Open), then follow the steps. The contact belongs to that client's account.
For clients of an agency
If your plan holds a set number of contacts and you have reached it, the app asks you to contact your agency for a larger plan. New leads from your forms are still saved.
Troubleshooting
"Enter a valid email address" This window needs an email address. For somebody you only have a phone number for, book them in with Calendars › New appointment, which accepts a phone number on its own, or import them from a spreadsheet that has only a phone column.
"Already in your contacts." An active contact already has that email address, so nothing new was made. Search for the address in Contacts to open them.
"Your … plan holds … contacts. Upgrade in Settings → Billing to add more." Your plan's contact limit is reached. Archived contacts still count towards it. Move to a larger plan under Settings › Billing & wallet.
"This workspace has no open pipeline stage. Add one in Contacts › Pipeline › Edit stages." Every stage is marked won or lost, so there is nowhere for a new lead to start. Add a stage without either mark, or remove a mark.
The same person now appears twice. They were already in your contacts under a different email address. Merge the two records.
