Tag contacts
Label people with tags so you can find them, message them as a group and start workflows.
A tag is a label on a contact, such as VIP, wedding-enquiry or lapsed-member. Tags are how you pick out groups of people for a filter, a bulk send or a workflow.
Before you start
- Decide on a few tag names and write them the same way every time. Tags are matched without regard to capitals, so
VIPandvipare the same tag, butweddingandweddingsare two different tags.
Steps
Tag one person
- Open the contact's record.
- In the Tags panel, type in Add a tag and press Enter, or press +.
- Or click a suggestion under the box. Your existing tags are offered, and a new account is also offered Follow up, Warm lead and High priority.
- To take a tag off, hover over it and press the small ×.
Tag many people
- Open Contacts and select the people (see bulk actions).
- Press Add tags in the selection bar, type the tag and press Add tag. A message says how many contacts were tagged.
- To remove a tag from many people, press ··· in the selection bar, then Remove tags.
Tag as they arrive
- When adding a contact by hand, type tags in the Tags box.
- When importing, map a Tags (comma-separated) column, fill in Tag for this batch, or both.
Find tagged people
- On Contacts, press Filters › Add filter and choose Tag with equals or contains. Turn on the Tags column to see them on each row.
- On Contacts › Pipeline, use the All tags button to show only cards with one tag.
What happens next
A tag added any way (on the record, in bulk, through an import or by a workflow step) starts any workflow whose trigger is A tag is added, either for any tag or for that tag. Removing a tag starts A tag is removed workflows. Tags you add or remove on the record itself are also written on the contact's timeline.
A tag that does not exist yet is created the first time you use it. There is no separate screen for renaming or deleting tags.
For agencies
Tags belong to the account they were made in. Open the client first (Sub-accounts › Open) to tag their contacts.
Troubleshooting
A campaign or filter picked up the wrong people.
The tag is probably spelled two ways, such as workshop and workshops. Filter on the wrong spelling, select everyone, Add tags with the right one, then Remove tags with the wrong one.
A tag I removed still shows in the contacts list. Tags that arrived through a spreadsheet import are also kept with the imported details, and the list's Tags column shows both. Removing the tag takes it off the record's Tags panel and stops workflows seeing it, but the list column and the Tag filter can still show it.
Tagging didn't start my workflow. Check the workflow is switched on, and that its trigger names the same tag. If the person is already on the workflow, they are not started again.
The suggested tag is red. High priority is offered in red. The colour is only set when a tag is first created; an existing tag keeps its colour.
