Add services and operators

List what people can book and who takes appointments, so bookings say what they are for and who they are with.

Services are the things people book, such as a check-up, a whitening consultation or a hygiene appointment. Operators are the people who take appointments, such as your dentists or trainers. Both are optional: a one-person business selling one thing needs neither.

Before you start

  • You have at least one calendar.

Steps

Add services

  1. Open Calendars › Services.
  2. Type a service name in Service — e.g. Consultation, for example Check-up.
  3. Press Add. The service appears in the list.
  4. Repeat for each service. Press the bin beside a service to remove it.

Add operators

  1. Open Calendars › Operators.
  2. Type a name in Name — e.g. Dana, for example Dr Okafor.
  3. Press Add. Repeat for each person. Press the bin to remove someone.

Use them on a booking

  1. When you take a booking by hand (Booked › New appointment), choose the service under What for? (optional) and the person under With whom? (optional).

What happens next

  • Services on your booking page. When you have more than one service, people choose one under What for? before they enter their details. With one service or none, the page asks only for a time. Every service is booked for the calendar's appointment length.
  • In the diary. The Booked tab shows the service under What, and the operator as, for example, with Dr Okafor. Both also show on the contact's timeline.
  • On the calendar row. With no operators, a calendar reads Books you. Once you add operators, it reads Books any of 2 operators.
  • The New booking email the app sends you names the service and the operator.

For agencies

Open the client first (Sub-accounts › Open). Services and operators belong to that client and are shared by all its calendars.

Troubleshooting

"That name is already taken here." A service or operator with that name already exists. Use a different name, for example Check-up (new patient).

Online bookings don't say which operator they are with. Bookings made on your pages are taken for the calendar as a whole. There is no setting on the Calendars screen for sharing online bookings out between operators, or for giving each operator their own hours. Add the operator when you take a booking by hand.

My booking page doesn't ask which service. It only asks when there are at least two services. With one, every booking is for that service's calendar anyway.

A person is missing from With whom? Only active operators are listed. Check they are on the Operators tab.

Services don't have their own lengths or prices here. Services are added by name only on this screen. The length comes from the calendar under Hours.
