Set your hours, appointment length and booking window

Choose when people can book, how long each appointment lasts, the gap between them and how far ahead the calendar opens.

Your hours decide which times people see on your booking page. Set them once per calendar, and change them whenever your week changes.

Before you start

  • You have a calendar under Calendars › Calendars.
  • Know your working pattern. For example, Bright Dental takes check-ups Monday to Thursday 8:30 to 17:00 and Friday 8:30 to 13:00, 30 minutes each with 10 minutes to clean up, up to 30 days ahead.

Steps

  1. Open Calendars › Calendars.
  2. Press Hours on the calendar's row. The settings open below it.
  3. Under Appointment length, type the length in minutes, for example 30.
  4. Under Gap after each, type the minutes to keep free after every appointment, for example 10. Use 0 for none.
  5. Under Bookable days ahead, type how many days ahead people can book, for example 30.
  6. Under When you're available, set a row for each block of time: - press the days the block applies to (Mon to Sun); pressed days are highlighted; - set the start time and the end time.
  7. Press Add hours for another block, such as Friday mornings or Saturdays. For a lunch break, use two rows for the same days, for example 9:00 to 12:30 and 13:30 to 17:00.
  8. Press the bin beside a row to remove it.
  9. Read the sentence at the bottom. It describes the hours exactly as they will be saved.
  10. Press Save hours. A message says Saved. Press Done to close the settings.

What happens next

  • How times are offered. Times start at the opening time of each block and repeat every appointment length plus gap. With 9:00 to 12:00, 45-minute appointments and a 15-minute gap, people see 9:00, 10:00 and 11:00. The last appointment and its gap fit inside the block.
  • Times already booked or in the past are not offered, and neither is anything beyond Bookable days ahead.
  • Hours are local time in the calendar's time zone. 9:00 stays 9:00 when the clocks change.
  • Bookings you add by hand are not limited to these hours; they only control what customers can pick.

For agencies

Open the client first (Sub-accounts › Open). Check the calendar's Time zone column before setting hours, since hours are read in that zone.

Troubleshooting

A row disappeared after I saved. Rows with no days pressed, or with an end time before the start time, are dropped when you save. Add the row again with at least one day and a later end time.

The last time of the day is missing. The last appointment has to end, gap included, before closing time. Move the end time later, or shorten the length or gap.

There are fewer times than I expected. The gap is added after every appointment. A 30-minute appointment with a 30-minute gap offers one time an hour.

People can't book next month. Bookable days ahead is too short. It can be from 1 to 365 days; left empty, it is 14.

I need to close for a holiday. There is no holiday setting on this screen. Remove the days from your hours before you go, and add them back when you return. Or press Unpublish on the calendar while you are away.
