See what's booked and mark appointments

Read your diary by week, day, month or list, and mark appointments confirmed, completed or no-show.

The Booked tab is your diary: every appointment on every calendar, with who is coming and how to reach them. Mark each one as it happens, so your records and your follow-up workflows are right.

Before you start

  • Nothing. Bookings appear here as soon as they are made, online or by hand.

Steps

Read the diary

  1. Open Calendars. The Booked tab opens.
  2. Choose how to see it: Week, Month or List. - Week opens on the week of your next booking. Switch between Week and Day, use the arrows to move, and press Today to come back. - Month shows how busy each day is. Hover a booking to see the calendar, service and time zone. - List splits bookings into Upcoming, Past and Cancelled, with the columns When, Who, How to reach them, Calendar, What and Status.
  3. Press a booking in Week or Month to open its details: time and zone, contact details, notes and status.
  4. Press a phone number or email address to call or write to the guest from your device.

Mark an appointment

  1. Find the booking in List, or open it in Week or Month.
  2. Change Status to one of: - Booked: the starting state; - Confirmed: the guest has confirmed they are coming; - Completed: it happened; - No-show: the guest didn't come; - Cancelled: it is called off (see the article on cancelling).
  3. A message says Updated.

What happens next

  • Completed starts any workflow whose trigger is Their appointment is completed, for example a thank-you email with a review request.
  • No-show starts any workflow whose trigger is They miss an appointment, for example a text offering a new time.
  • Booked and Confirmed appointments hold their time. Completed, No-show and Cancelled ones release it.
  • Each person's appointments also show on their contact record, in the Next appointment column of the contacts list, and under Appointments beside their conversation.

For agencies

Open the client first (Sub-accounts › Open) to see their diary.

Troubleshooting

"Nothing booked yet" No appointments have been made on any calendar. Take a test booking on your published page, or add one with New appointment.

The times look an hour out. Each booking is shown in its own calendar's time zone, which is named beside it. If the zone is not where you are, the numbers are right for the calendar, not for you.

A booking isn't in Upcoming. It is in Past once its end time has passed, or in Cancelled.

Marking No-show didn't start my workflow. Check the workflow is switched on and its trigger is They miss an appointment. The status must actually change to No-show for it to start.

There is no Reschedule button. Reschedule is in the List view, under the status of Booked and Confirmed appointments that are still to come.
