Set subscription rules, approvals, the welcome email and tax
Decide what happens when a client's payment fails, what clients may change themselves, what AI they start with, what email they get, and whether tax is added at checkout.
The SaaS configurator holds the rules around the plans you sell. Each tab covers one question, and most changes save as you make them.
Before you start
- The Resell plan, with at least one plan to sell (see Create plans to sell to your clients).
- For tax: Stripe Tax switched on in your own Stripe account.
Steps
Subscription rules
- Open SaaS configurator › Subscription rules.
- Under Payments, decide on Suspend when a payment fails. On: the client sees a hold screen with an Update payment button until the invoice is paid. Off: they keep working while Stripe retries the card.
- Under What clients can do themselves (from their own billing page), switch on or off Upgrade to a bigger plan, Downgrade to a smaller plan and Cancel the subscription. Upgrades and downgrades are prorated through your Stripe; a cancellation takes effect at the end of the paid period.
- Under AI for new clients, choose whether AI switched on is on for new clients, and set a Monthly AI spending limit (at your cost; leave it empty for no limit) with Set.
- Under Reasons, edit the Cancellation reasons and Downgrade reasons clients pick from. Type one and press Add; press the cross on one to remove it. "Other" with a text box is always offered too.
Approvals & holds
- Open Approvals & holds. Turn on Hold new signups until you approve them to stop anyone who buys through a public sale link from signing in until you approve them. Clients you add yourself are never held. Approve or reject people waiting, and restore held accounts, in the lists below (see Approve, suspend or remove a client).
Welcome email
- Open Welcome email. Type a Subject and a Message. You can use
{{client}},{{agency}},{{plan}}and{{link}}. Plain text becomes paragraphs. If you leave out{{link}}, it is added at the end. - Check the Preview on the right, then press Save email. Leave both boxes empty to use the standard email.
Tax
- In your Stripe dashboard, open Tax, activate Stripe Tax and add a registration for each country or state where you must collect tax.
- Open Tax here and turn on Collect tax on plan checkouts. Choose the Product tax code, usually Software as a service (SaaS), business use.
- Open Plans & pricing and save each plan once, so its product in Stripe carries the tax code.
What happens next
- The welcome email is sent from your own domain when a client is created or buys a plan.
- With tax on, Stripe works out VAT or sales tax from the client's billing address and adds it to every checkout and renewal. Existing subscriptions are not changed until their next checkout. Stripe charges a small fee per taxed transaction.
- Activity lists cancellations, downgrades, upgrades, holds, approvals and failed payments, newest first, with the reason the client gave.
- Texting for new clients sets the texting rules a new client starts with (see Manage texting across your clients).
Troubleshooting
"Could not save." The change did not go through. Refresh the page and try again.
A client cannot find the upgrade or cancel button. Those are switched off under What clients can do themselves. The client sees a line asking them to contact you instead.
The welcome email still looks like the standard one. Both boxes were empty when you saved, or you did not press Save email.
Tax is not added at checkout. Stripe Tax is not active in your Stripe account, there is no registration for the client's region, or the plan has not been saved since you turned tax on.
The Add button for reasons is greyed out. The box is empty, or you already have 12 reasons.
