Send email from your own domain

Verify a sending domain so the emails you and your clients send come from your own address, land in inboxes and carry your name.

Until you verify a sending domain, emails leave from a shared address under the business's name, and shared addresses are more likely to land in spam. Verifying your own domain, for example northwind.studio, means mail goes out from an address such as hello@northwind.studio. Your clients use your agency's sending domain too, unless they add their own.

Before you start

  • You are an owner or admin of the agency account.
  • Access to your domain's DNS settings.
  • The address you want to send from, for example hello@northwind.studio, and the name to show beside it.

Steps

  1. On Agency home, press Add sending domain on the Launchpad, or open Settings › Channels and scroll to Sending domain.
  2. Press Add domain.
  3. Type the Domain, for example northwind.studio.
  4. Type the From (local part), the part before the @, for example hello.
  5. Optionally type a From name, what recipients see as the sender, for example "Northwind Studio".
  6. Press Add and get DNS records. A message says the domain was added and asks you to add the records shown.
  7. Add each record in the table (Type, Name, Value) at your DNS provider, exactly as shown. The Purpose column says what each one is for. Use the copy button beside a value to avoid typing mistakes.
  8. Come back and press Check now. When the records are found, the domain shows Verified and a message says mail will leave from your own domain.
  9. Press Send a test to send yourself an email and check the From line.

What happens next

Emails from your account, and from every client account that has not added its own, go out from your verified domain. This covers invitations, sign-in emails and the emails your clients send to their own contacts.

A client can add their own sending domain in their account under Settings › Channels. Theirs then replaces yours for their mail. The card in their account says "Your mail inherits your agency's sending domain" until they do.

To stop using a domain, press Remove on it and then Confirm remove. Mail goes from the shared address again until another domain is verified.

For clients of an agency

If your agency has a sending domain, your mail already goes from it. You only need your own if you want your customers to see your own address.

Troubleshooting

"DNS records not found yet. They can take up to 48 hours to propagate." The records are not visible yet. Check they are saved at your DNS provider, wait, and press Check now again.

"Verification failed — check that all DNS records are saved at your registrar." One or more records is missing or different. Compare each Name and Value character by character, then check again.

My DNS provider added my domain twice. Some providers add the domain to the name for you. Type only the part before your domain in the name field.

The status says Pending DNS for days. A record was added to a different domain or subdomain, or an old record with the same name is still there. Fix it and press Check now.

"Test email failed to send." The account is not fully set up to send yet, or the domain is not verified. Verify it first.

I cannot see an Add domain button. Only owners and admins can manage the sending domain.
